1. Information we collect during registration:

1.1. public self-registration & front desk registrations
When you register a vehicle through our system, we may collect the following personal information:
Email address
Vehicle license plate number
Vehicle make and model
Parking zone selected
Registration timestamp and device‑like information (e.g., IP address or session ID)
We collect this information only to enable parking registration, enforce parking rules, and provide related services.

1.2. Towed Vehicle Lookup
When a user submits a license plate number through the Towed Vehicle Lookup service on our website, we do not collect, store, or retain that license plate number or any other information entered into the lookup tool. The lookup query is processed in real time solely to retrieve matching towed vehicle records and is not logged or associated with any individual.

2. How we use your information (public self-registration + front desk registrations):
We use your personal information for the following purposes:
To register your vehicle in the parking system.
To ensure your vehicle complies with parking time limits and zone rules.
To issue violation notices or support towing if your vehicle exceeds the maximum allowed parking time or is registered in the wrong zone or with incorrect information (such as the wrong license plate).
To manage your account and provide customer support.
To maintain security and operational integrity of the parking system.
We do not use your data for any purpose beyond parking registration, enforcement, security, and related parking operations unless you provide separate consent.

3. Consent and withdrawal (public self-registration)
When you complete the registration form, you will see two consent statements:
- Required consent
You must accept the statement about parking rules, violation notice issuance, towing, and limited data use for parking‑related purposes.
This consent is required to register your vehicle.
- Optional marketing consent
You may choose to check an optional box that says:
“I agree to share my email and vehicle details (make and model) with selected car‑related businesses, such as dealerships, for marketing and promotional offers related to my vehicle. This consent is optional and can be withdrawn at any time.”
If you do not check this box, your email and vehicle details will not be shared with car‑related businesses for marketing.
You can withdraw your marketing consent at any time by:
Contacting us at support@parkeenground.ca or through the contact form on our website.
Once you request to withdraw your consent, withdrawal will be processed within 30 days of receipt of your request. We will stop sharing your data with car‑related businesses for marketing purposes. However, any sharing that has already occurred may not be undone, and businesses that already received your data may continue to contact you according to their own privacy practices and unsubscribe mechanisms.
Marketing emails you receive will be sent directly by those businesses, not by us. To stop receiving emails from a specific business, use the unsubscribe link in that business’s emails or contact them directly.

4. Sharing your data with third parties (public self-registration)
We may disclose your personal information only in the following circumstances:
Parking‑related operations
Violation photos associated with a tow order may be shared with the contracted towing company through the tow order PDF, for the sole purpose of verifying the subject vehicle prior to towing.
To municipal authorities, enforcement agencies, or contractors involved in parking management, violation notice issuance, or towing, where required to operate the parking system. 
Marketing with your consent
If you have checked the optional marketing checkbox, we may share your email address and vehicle details (make and model) with selected car‑related businesses, such as dealerships, so they can contact you with offers related to your vehicle.
We do not sell your personal data lists to unrelated third parties. Any sharing with car‑related businesses is done under contractual agreements that require them to:
Use the data only for agreed‑upon marketing purposes.
Not resell or further disclose the data without our permission.
Delete or stop using the data if you withdraw consent or upon our request.
If you withdraw your marketing consent, we will stop sharing your data with car‑related businesses going forward, but we are not responsible for how businesses that already received your data use it. Those businesses may continue to contact you according to their own privacy practices and unsubscribe mechanisms.
Key points:
We do not share your license plate number or other sensitive identifiers with car‑related businesses for marketing unless you separately consent and the sharing is strictly limited and justified.

5. Data security
5.1. We take reasonable steps to protect your personal information from unauthorized access, use, or disclosure, including:
Encryption of data in transit and at rest where feasible.
Access controls so only authorized personnel can view or handle your data. Staff and authorized personnel who handle personal information are bound by confidentiality obligations and may only access data for purposes authorized by ParKeenGround.
Regular review of our security practices.
Despite these measures, no system is 100% secure, and we cannot guarantee absolute security.
5.2. Authorized roles within the System may export data for legitimate operational purposes. Exported data is subject to the same confidentiality and access obligations as in-system data and may only be used for purposes authorized by ParKeenGround. Exported data may be shared with parking property owners and towing contractors solely for operational purposes, such as confirming the number of v
iolation notices issued within a zone, verifying the number of towing operations performed, and reconciling payments owed or paid. Such sharing is limited to what is necessary for those purposes.
5.3. In the event of a security breach that poses a real risk of significant harm, ParKeenGround will notify the relevant privacy regulatory authority as required by applicable law and will post a notice on this website. Where we hold current contact information for affected individuals, we will also notify them directly by email.

6. Data retention
We retain your personal information only as long as necessary to:
Fulfill parking registration and enforcement purposes, or
Comply with legal or regulatory requirements.
If you give marketing consent (by checking the optional marketing checkbox), we will keep your registration data and consent record for up to 2 years to demonstrate compliance and support marketing‑related activities.
If you withdraw marketing consent, we will stop sharing your data for marketing and will remove your information from marketing‑related systems within a reasonable time, unless otherwise required by law. We will keep a record of your consent and related registration information for up to 2 years to maintain proof of your consent and for compliance and audit purposes.

Photographic evidence of parking violations associated with paid violation notices is retained for six (6) months from the date of payment, after which it is permanently deleted from our storage systems. Photographic evidence associated with unpaid, disputed, voided, or cancelled notices is retained for as long as the notice record exists in ParKeenGround's system, after which it is deleted along with the associated record.

* Towed Vehicle Lookup Display Period
Towed vehicle records are displayed through the Towed Vehicle Lookup service for a maximum of fourteen (14) days from the date of the towing event. After this period, records will no longer appear in lookup results. This display limitation applies solely to the public-facing lookup tool and does not affect internal records retained for enforcement, compliance, or operational purposes.

* Towed Vehicle Lookup — Data Displayed
The Towed Vehicle Lookup service displays the following information when a matching towed vehicle record is found: vehicle make and model, vehicle color, towing identification number, and the name and contact phone number of the towing company. No personal identifying information, vehicle owner details, or contact information is disclosed through this service. Search results are limited to records within the preceding fourteen (14) days from the date of the towing event.

7. Your rights
7.1. Under Alberta’s Personal Information Protection Act (PIPA), you have the right to:
Access the personal information we hold about you.
Request correction of inaccurate information.
Withdraw your consent for marketing uses.
To exercise these rights, please contact us at support@parkeenground.ca. We will respond within a reasonable time and may ask you to verify your identity.
7.2. If you submit a dispute regarding a v
iolation notice or data sharing, any supporting documentation you provide (such as vehicle registration documents) will be collected and used solely for the purpose of reviewing and resolving your dispute. Such documentation will be stored securely and deleted after the dispute is resolved, unless retention is required by law. We will not share dispute documentation with third parties except where required by law.

8. Photographic evidence of violations
Photographs of violations (license plates/vehicles) are uploaded to secure cloud storage and are accessible only to authorized roles (Workers, Admins, Selected Admins, and Management). Violation photos included in a PDF tow order are additionally shared with the contracted towing company solely for the purpose of vehicle verification at the time of towing. This sharing is limited to the photos associated with the specific tow order and is used exclusively for operational enforcement purposes.
Photographs will be used as proof for enforcement verification purposes including but not limited to: the resolution of violation notice disputes or the resolution of towing disputes.
Photographs will not be sold or used for marketing purposes.
Photographs will be deleted in accordance with the data retention policy.

9. Payment Data
9.1. To pay a parking violation notice, you must first enter your violation notice ID and license plate number on ParKeenGround's payment page. We use this information solely to verify that the violation notice exists and belongs to your vehicle before proceeding. Once verified, your payment is processed through Stripe, a secure, PCI-compliant third-party payment processor. During checkout, Stripe collects your email address, card details (card brand, last four digits, expiry date, country of issue, and funding type), and any billing information you provide. All sensitive payment information — including your full card number and billing details — is handled entirely by Stripe. ParKeenGround does not have access to your full card details and does not process your card information directly.
9.2. Through our Stripe account, we have access to the payment and charge details associated with your transaction, including your email address, the card details described above, and violation notice-related information submitted during the payment process, such as violation notice ID, license plate number, receipt ID, and zone. We use this information for the following purposes:
(a) To process and verify your violation notice payment.
(b) To send or facilitate payment receipts.
(c) To handle disputes, chargebacks, and refunds.
(d) To contact you in connection with a payment issue.
(e) For internal record keeping and compliance purposes.
9.3. We do not use your payment data for marketing purposes. In our own systems, we store only the transaction ID, amount, payment status, and timestamp.
9.4. Violation notice payments are collected by ParKeenGround on behalf of the property owner of the parking zone. A full or partial portion of your payment may be transferred to that property owner through Stripe's platform. As a result, the property owner's Stripe account will also have access to payment and charge details associated with the transaction, which may include your email address, card details (as described above), and violation notice-related information such as violation notice ID, receipt ID, license plate number, and zone. ParKeenGround does not control the property owner's use of information made available to them through Stripe. Their handling of this information is governed by Stripe's platform policies and their own privacy practices.
9.5. ParKeenGround is not responsible for the security or handling of your payment card information by Stripe or the property owner, and is not liable for any damages resulting from payments made through the Stripe-hosted checkout page. By proceeding with payment, you acknowledge that your payment is processed by Stripe and is subject to Stripe's own privacy policy and terms of service.
9.6. When users interact with the payment portal to look up or pay a parking violation notice, our server automatically generates standard access logs that may include the violation notice ID, license plate number, IP address, and timestamp of the request. These logs are retained for a limited period for security and operational purposes and are not used by ParKeenGround for any other purpose.

(System & Operations Section)

10. Cookies and Browser Storage
10.1. Our system does not use traditional tracking cookies. For authorized personnel (employees and staff) who log in to the system, we use the browser's local storage to maintain their login session. This data is stored only on the user's device, is not shared with any third party, and is removed from the user's device when they log out. For security and operational purposes, we retain server-side session and activity records (such as login times, session identifiers, and device information) for up to 30 days, after which they are automatically deleted. Public users who register a vehicle through the registration page are not required to log in, and no data is stored on their device.
10.2. For security, staff sessions are automatically terminated after a period of inactivity.
10.3. Note: Our company website is hosted on a third-party platform that may use cookies for functionality and analytics purposes. Additionally, when you are redirected to the Stripe-hosted payment page to pay a parking v
iolation notice, Stripe may use cookies and similar technologies for fraud detection and payment processing purposes. These are governed by the respective third parties' own privacy policies and are outside ParKeenGround's control.

11. Business Identity
This Privacy Policy is issued by ParKeenGround, operating in Alberta, Canada.

12. Children's Privacy
Our services are not directed at individuals under the age of 14. We do not knowingly collect personal information from children under 14. If we become aware that we have inadvertently collected personal information from a person under 14, we will take steps to delete that information as soon as possible. Users between the ages of 14 and 18 may use our registration system, and their use of the system is subject to this Privacy Policy.

13. International Data Transfers
Your personal information, including registration data and any Photographic evidence of violations, may be processed or stored on servers located outside of Alberta or Canada (for example, through our cloud storage providers). When your data is transferred outside of Canada, it may be subject to the laws of the country in which it is stored. We take reasonable steps to ensure that any third-party service providers handling your data maintain appropriate security measures consistent with this Privacy Policy and applicable Canadian privacy legislation.

14. Data Breach Notification
In the event of a data breach involving your personal information that poses a real risk of significant harm, we will notify you and the Alberta Information and Privacy Commissioner as required under Alberta's Personal Information Protection Act (PIPA). Notification will include a description of the breach, the type of information involved, and steps we are taking to reduce the risk of harm. We will provide this notification as soon as reasonably possible after becoming aware of the breach.

15. Violation notice Disputes
If you believe a parking violation notice was issued in error, you may submit a dispute within 14 days of the violation notice date by contacting us at support@parkeenground.ca. Your dispute must include the violation notice ID, license plate number, and a brief explanation of why you believe the violation notice was issued incorrectly. We will review your dispute and respond within 30 days. Disputes submitted after the 14-day window will not be considered unless exceptional circumstances are demonstrated. An example of an exceptional circumstance includes a vehicle owner who acquired a license plate that was previously owned by another person, and the violation notice was issued to the previous owner's vehicle before the plate was transferred. In such cases, the disputant must provide proof that the license plate is currently assigned to a different vehicle than the car make and model listed on the violation notice, such as a current vehicle registration document issued by the provincial registry. The decision made following the review is final.

16. Data Sharing Disputes
If you believe your personal information was shared with third-party businesses for marketing without your consent, you may submit a dispute by contacting us at support@parkeenground.ca within 18 months of your registration date. Disputes submitted after the 18-month window will not be considered. Your dispute must include your email address, license plate number, and a description of the marketing communication you received. We maintain records of all marketing consent checkboxes submitted through our registration system, including timestamps. Upon receiving your dispute, we will review our consent records and respond within 30 days. If our records confirm that consent was provided, we will share the relevant consent record with you as proof. If we are unable to verify that valid consent was given, we will immediately stop sharing your data with third-party businesses and notify any businesses that previously received your information to cease using it. Regardless of the outcome, you may withdraw your marketing consent at any time going forward.

17. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will post the new version on this page and update the “Last updated” date. Continued use of our registration system after changes means you accept the updated policy.

18. Effective Date
This Privacy Policy is effective as of February 22, 2026 and was last updated on February 22, 2026.
